Roomkeep Room Booking
Privacy Policy
Last updated: 31 October 2026
Roomkeep Room Booking (“the app”) is provided by Coders Creation. This policy explains what data the app stores and sends when you install it on your Wix site and when guests book through it. The app’s backend runs on Wix’s own hosting, and everything it stores is kept in your own site. The only exception is the calendar sync server for the Business plan, described below, which never receives guest details.
What the app stores in your site’s CMS
- Roomkeep Setup: your settings (property names, address, phone, the email for new bookings, rooms, prices, seasons, extras, coupons, design, texts, translations and calendar links), the last known plan of your site and the time of the last calendar sync.
- Roomkeep Bookings: one record per booking or request with the guest’s full name, email address, phone number (if given), message to you (if given), arrival and departure dates, number of guests, room, chosen extras, coupon, prices, status, the language of the page and the time it was made. Your own notes on a booking are stored there too.
- Roomkeep Nights: one record per booked room and night, with the booking it belongs to. It contains no personal data.
- Roomkeep Log: a technical log of problems and events (for example a calendar link that could not be read, or a booking form that could not load), with the time, a short description and technical details. Guest names, emails and phone numbers are never written to it. Entries older than 30 days are deleted.
These collections are readable only by site admins. You can view, export, change or delete the records in your CMS at any time.
What the app sends, and to whom
- When a guest books, the guest’s details above go from the guest’s browser to the app’s backend on Wix and are saved in your site’s CMS.
- A notification about the booking (guest name, room, dates, number of guests and reference) is sent to your site’s Wix notifications for the site owner and collaborators.
- If “Add each guest to my site’s contact list” is on (the default), the guest’s name, email and phone are added to your site’s Wix contact list.
- The booking details are passed to Wix Automations as a trigger. They are only used if you create an automation for it, for example to email the guest.
- On the Business plan, the app and the calendar sync server download the calendar links you enter, from the address you entered. Nothing about your guests is sent in that request.
- Apart from the calendar sync server below, nothing is sent to Coders Creation. No data is sold or shared with anyone else.
The calendar sync server (Business plan)
Live calendar links and automatic syncing run on a server operated by Coders Creation at sync.coderscreation.com. It is used only on the Business plan, and only after you open the Settings tab with calendar links set up.
- With the app’s own access to your site, it reads your Roomkeep settings and the Roomkeep Nights records, and writes imported nights, the time of the last sync and log entries back to your site. It does not read Roomkeep Bookings, so it never receives guest names, emails, phone numbers or messages.
- Your room calendar links contain a private key. They show only which nights are taken, as “Not available”, with no guest or booking details. Anyone you give a link to can see those dates, so share it only with your travel channels.
- The server keeps only your site’s app instance ID and the times of its last syncs. Calendars it builds are cached in memory for up to 5 minutes. Its technical logs contain the instance ID and error messages, and are kept for a limited time.
- When you uninstall the app, the server can no longer reach your site and removes your instance ID within a week.
Site visitors and guests
- If the booking form cannot load or search, it reports a short problem code to your site’s Roomkeep Log, at most once every 10 minutes, without any visitor details.
- The widget stores a copy of your public setup (rooms, prices, texts and design, no guest data) in the visitor’s browser, so it can show the booking form quickly on the next visit. It sets no cookies and does not track visitors across sites.
- Payment is not handled by the app. Guests pay you directly.
Your responsibilities
You are the controller of your guests’ data. Tell guests in your own privacy notice that you keep their booking details, and delete bookings you no longer need.
Removing the app
When you uninstall the app, Wix removes it from your site. The four Roomkeep collections stay in your CMS until you delete them, so you keep your booking records.
